Here’s what I’ve learned after years as a certified Notion consultant: most people searching for Notion alternatives aren’t actually done with Notion. They’re done with their current setup of Notion.

There’s a real difference. Notion is genuinely one of the most flexible knowledge and project management tools available, but that flexibility comes with a cost. A workspace that grows without intentional design gets messy, slow, and frustrating. When that happens, it’s natural to wonder if the grass is greener somewhere else.

Sometimes it is. There are legitimate cases where Notion isn’t the right fit (I’ll get to those). But before you invest weeks migrating to a new tool, it’s worth spending ten minutes diagnosing whether you’re dealing with a tool problem or a structure problem. The right answer changes everything. Before Leaving Notion: is it the tool or your setup?

After working with dozens of small business owners on their Notion systems, I’ve found that frustration with Notion almost always traces back to one of five root causes — none of which require switching tools to fix:

1. The workspace was set up once and never revisited. Notion is infinitely flexible, which means a workspace designed for a solo freelancer will break down badly once a team joins or client volume grows. The tool didn’t fail. Instead, it just wasn’t redesigned as the business changed.

2. There’s no clear structure for projects, tasks, and notes. When everything lives at the same level with no consistent relationships between databases, finding anything becomes exhausting. This is a design problem, not a Notion limitation.

3. Automation hasn’t been introduced. A lot of the manual friction people experience in Notion, such as updating statuses, linking records, and notifying teammates can all be eliminated with native automation or a tool like Make.com. Many people don’t know this is possible.

4. The team hasn’t been trained. Notion’s flexibility requires some shared conventions. Without them, a collaborative workspace becomes chaotic fast.

5. The wrong Notion plan for the use case. Some features (edit history depth, permissions control, SAML SSO) require paid plans. Hitting a wall that’s actually a plan limitation gets misread as a platform limitation.

If any of those resonates, a short consultation may be far more cost-effective than a migration project. If you’ve genuinely ruled all of these out, the list below is the most comprehensive feature matrix I know of.

This list grew from a Reddit thread I started in October 2023. I put the tools in a spreadsheet, invited the community to contribute, and it’s grown into one of the most thorough feature matrices for Notion alternatives available. I’m the curator, not the sole author — the credit belongs to the contributors.

  • Offline Mode
    Can the tool be used without internet access?  Offline mode is critical for travelers or those who lose access to the internet.
  • Tasks 
    Is there a facility to create, assign, and track tasks?
  • Kanban 
    Does it support managing items on kanban board?
  • Publish
    Can content be shared on the web?  Can you turn content into a website?
  • Supported Operating Systems
    Which OS’s does it work on?  Mobile?
  • Native Automation
    Can you automate tasks without the need of external tools like Make or Zapier?
  • Integrations
    Can the tool be integrated with other tools?
  • API Access
    Can you control the tool programmatically?
  • Ease of Use/Ramp
    A subjective assessment.  How easy is it to use and learn on a scale of  1-10?  (rated by users, not me).
  • Databases
    Does it support working with your data in databases?  (Filters, Sorts and Relationships, and Calculations/formula)
  • Backup / Recovery
    Is there local storage and recovery of data that you own, in case the service goes away?  History?
  • Collaboration
    Can multiple users work with the tool simultaneously?
  • Open Source
    Can you see the source code?
  • Self-hosting
    Can you host all the data yourself without SAAS?  
  • Client-side encryption
    Nоte that app should be at least source-available or else you can’t say that it has client-side encryption”
  • Third-party Security Audits
    Has an external party given a security audit?
  • Price
    This would seem to be an essential comparison element.  Hoever, it’s not really possible to do an apples-to-apples comparison with the variety of options each product offers.

In October 2023, a Reddit thread listed about 10 Notion alternatives, and people started commenting. I put them in a spreadsheet and left permissions open with an invitation to contribute. That worked for well over a year. At some point, well-meaning contributors started degrading the quality of the sheet, so I added a requirement to log in to track people’s changes. Since then, it has continued to grow in utility and popularity and is one of the best resources for Notion alternatives on the internet.
